Destination brides’ biggest fear? We snooped on different Facebook Groups and we find out the destination brides’ biggest fear.
Ready? Here it is : being stuck paying for unbooked but reserved rooms for their wedding guests.
Fear not we have the solution.
First of all congratulations, beautiful bride-to-be! Your dream wedding awaits, and you’ve chosen the perfect destination to celebrate your love. As you embark on this exciting journey, it’s essential to address one of the biggest fears many destination wedding brides face: room bookings. In this blog post, we’ll explore the difference between flexible and contracted room bookings, and why having a romance specialist by your side can make all the difference in keeping your wedding planning experience joyful and worry-free.
Flexible Room Booking vs. Contracted Room Booking: Let’s start by understanding the distinction between these two options. With the flexible room booking the couple shares a code with their guests and everybody will be responsible for booking their own rooms This may seem enticing at first, but it can also lead to uncertainties and complications down the line because prices might change as the availability. It might work if you just need a few rooms in a big resort away from the busy season.
A contracted room booking entails entering into a formal agreement with a hotel or resort. By securing a certain number of rooms, and the categories of rooms you prefer for your guests you gain peace of mind knowing that your wedding party and guests will have for sure a great room to stay. Contracts offer stability, ensuring that the desired rooms will be available when you need them, at a contracted rate. The only downside is that you will need to put a deposit down but believe me if I tell you it is usually affordable and that deposit, as soon as your guests will start booking their room, will be used and redirected toward the payment of your own stay.
The Role of a Romance Specialist: Planning a destination wedding involves a myriad of details and logistics, and that’s where a romance specialist comes in as your invaluable ally. Think of us as your wedding planning guru, guiding you through every step of the process, ensuring your big day is everything you’ve envisioned, and more. The difference with a travel agent is that this last one will just pass an order from you to the resort and from the resort to you. The romance specialist is a pro in dealing with all the different aspects of your wedding planning and traveling for you and your guests.
Why You Need a Romance Specialist:
Understanding Attrition Dates: One concern that often arises with contracted room bookings is the fear of being responsible for paying for unbooked rooms. This is where the attrition date comes into play. An attrition date is the last day by which guests must book their rooms to be counted towards the contracted block. If any rooms are unreserved after this date, you will need to release the unbooked rooms so that you will not be held accountable for their payment.
So, how to avoid unwanted and unnecessary payments?
This is my personal trick; the attrition day is well noted on the contract. As soon as the contract is signed take note of my agenda, all my calendars, and on the file of my couple the attrition date. It is very important to act well in advance to make sure all the guests know that you need to have them committed at least 10 days before the attrition date. You can bet your right hand that you will have that family member or friend that will call the following day asking if they can still book… Yep! It happens all the time like clockwork and this is way I do this process 10 days before the actual cut-out time. Three days before the actual attrition date ( before in case of holidays or weekends on the way) I send an official email to the group representative and his/her supervisor asking to release all the rooms that were not booked. So my bride and groom will never be responsible to pay for unbooked rooms.
